Managing user accounts
This guide explains each property on a user’s account, to support setting up and editing accounts by admin users. It also details any validation requirements for each property, and how they should be stated in our bulk upload CSV, where relevant.

Login details
This is a required field, added as free text, with standard email address validation. Where Single Sign-On (SSO) is used for login, the link between the Concentric and SSO accounts is made on email address, so it should match the address on that account.
User details
Title
This is an optional field, added as free text. It is the user’s title, for example Dr, Mr, Ms or Miss, and is shown alongside their name in Concentric.
First name
This is a required field, added as free text, ideally with standard capitalisation. Please note, in our bulk upload CSV the column is named given name rather than ‘First name’.
Surname
This is a required field, added as free text, ideally with standard capitalisation. Please note, in our bulk upload CSV the column is named family name rather than ‘Surname’.
Job details
Job title
This is a required field, added as free text. It is the user’s role, for example ‘Consultant Urologist’ or ‘Endoscopy Nurse’.
GMC number
This is an optional field, which if provided, must be a 7 digit number. Other professional registration identifiers are not currently recorded in Concentric.
Specialty
This is an optional field, though it is required for anyone marked as a responsible clinician, and must match one of the supported specialties. In the admin application the specialty is selected from a list; in our bulk upload CSV it is entered as free text.
The following are the specialties that a user can be assigned to. The categories shown in grey are used for grouping only and cannot be assigned to a user.

Responsible clinician
This is an optional field, needed only for users who are responsible clinicians. In the admin application it is set with a checkbox; in our bulk upload CSV, enter yes in the responsible clinician column to mark the user as one. Clinicians are usually designated as a responsible clinician when they are a consultant, so that they are searchable as such on consent episodes. A responsible clinician must have a specialty assigned, and cannot also be read-only.
Read-only access
This is an optional field, needed only for users who should have read-only access. In the admin application it is set with a checkbox; in our bulk upload CSV, enter yes in the read-only column to mark the user as read-only. A read-only user can view episodes and send information to patients, but cannot create or edit episodes. Read-only access is usually assigned to those involved in the consent pathway who don’t have consent conversations with patients themselves, such as ward nurses and theatre staff. An account cannot be both read-only and a responsible clinician.
Other account settings
Admin privileges
Admin privileges let a user manage other accounts and view usage metrics in the admin application. Unlike the properties above, admin access is not set on the user account, and it cannot be included in a bulk upload. It is requested and approved through a separate process, rather than within the admin application. See managing admin access for how this works.
Disabling an account
An account can be disabled to stop the user logging in, without deleting it. A disabled user cannot log in until their account is re-enabled. This is managed in the admin application, and is not part of a bulk upload.
